1. What Personal Information Do We Collect? 

Personal Information” is information that identifies you as an individual or relates to an identifiable individual. The Personal Information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The Personal Information we collect may include the following: 

  • Identifiers, including contact details such as name, alias, phone numbers, email address, unique personal identifiers, online identifiers, social media account ID, and account name.
  • Internet or similar activity, such as IP address, online behavior, interest data, and interactions with our websites, applications, systems, and advertisements. We may derive your approximate location from your IP address.
  • Audio, visual, or similar information, such as images and audio, video, or call recordings created in connection with our business activities.
  • Professional or employment-related information, such as business contact details to provide our Services at a business level or job title, work history, and professional qualifications, if you apply for a job with us.
  • Profile picture.
  • App data. If you use our Apps(s), the App may request access to certain features from your mobile device, including your mobile device’s calendar, contacts, and other features. If you wish to change the App’s access or permissions, you may do so in your device’s settings. 

We may also collect other Personal Information outside of these categories through instances where you interact with us in person, online, or by phone or mail in the context of:

  • Receiving help through our customer support channels; and
  • Participating in customer surveys or contests. 

We need to collect Personal Information in order to provide the requested Services to you. If you do not provide the information requested, we may not be able to provide the Services. If you disclose any Personal Information relating to other people to us or to our service providers in connection with the Services, you represent that you have the authority to do so and to permit us to use the information in accordance with this Privacy Policy.

2. How Do We Collect Personal Information?

We and our service providers collect Personal Information in a variety of ways, including:  

  • From you through the Services.  

We collect Personal Information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

  • From Other Sources.  
  • We receive your Personal Information from other sources, such as publicly available databases and joint marketing partners.
  • Our Services may offer you the ability to register and log in using your third-party social media account details (like your Facebook or Twitter logins). When you choose to do this, we will receive certain profile information about you from your social media provider. The profile information we receive may vary depending on the social media provider concerned, but it will often include your name, email address, friends list, and profile picture, as well as other information you choose to make public on such a social media platform. 

3. How Do We Process Your Personal Information? 

We process your Personal Information for a variety of reasons, depending on how you interact with our Services, including: 

  • To facilitate account creation and authentication and otherwise manage user accounts. We may process your information, so that you can create and log into your account, as well as keep your account in working order. 
  • To deliver and facilitate delivery of Services to you. We may process your information to provide you with the requested service.
  • To request feedback. We may process your information when necessary to request feedback and to contact you about your use of our Services. 
  • To provide you with marketing materials and facilitate social sharing. To send you marketing-related emails with information about our Services, new products, and other news about our company. To facilitate the social sharing functionality that you choose to use.
  • To evaluate and improve our Services, products, marketing, and your experience. We may process your information when we believe it is necessary to identify usage trends, determine the effectiveness of our promotional campaigns, and to evaluate and improve our Services, products, marketing, and your experience. 
  • To identify usage trends. We may process information about how you use our Services to better understand how they are being used so that we can improve them. 
  • To analyze Personal Information for business reporting and providing personalized services. We may process your information to analyze use of the services and to better understand your interests and preferences, so that we can personalize our interactions with you and provide you with information and/or offers tailored to your interests.
  • To aggregate and/or anonymize Personal Information. We may aggregate and/or anonymize Personal Information so that it will no longer be considered Personal Information. We do so to generate other data for our use, which we may use and disclose for any purpose, as it no longer identifies you or any other individual. 
  • To accomplish our business purposes, such as: 
  • For audits, to verify that our internal processes function as intended and to address legal, regulatory, or contractual requirements; 
  • For fraud prevention and security monitoring purposes, including to detect and prevent cyberattacks or attempts to commit identity theft; 
  • For developing new products and services; 
  • For enhancing, improving, repairing, maintaining, or modifying our current products and services, as well as undertaking quality and safety assurance measures; 
  • For identifying usage trends, for example, understanding which parts of our Services are of most interest to users; 
  • For determining the effectiveness of our promotional campaigns; and 
  • For operating and expanding our business activities.  

4. When and With Whom Do We Share Your Personal Information? 

We disclose your Personal Information: 

  • To our third-party service providers to facilitate services that they provide to us. These can include providers of services such as website hosting, data analysis, payment processing, order fulfillment, return authorization, fraud prevention, information technology and related infrastructure provision, customer service, or related benefits (including special promotions), email delivery, auditing, and other services. 
  • To select third parties to send you marketing communications.  We will provide you with information on any third parties that we partner with for marketing purposes, including information on how you can opt-out of these communications.  We seek to require that such third parties comply with our Privacy Policy.  
  • By using the Services, you may elect to disclose Personal Information.
  • On message boards, chat, profile pages, blogs, and other services to which you are able to post information and content. Any information you post or disclose through these services may be available to other users and the general public. 
  • Through your social sharing activity. When you connect your Services account to your social media account, you will share information with your friends associated with your social media account, with other users, and with your social media account provider. By doing so, you authorize us to facilitate this sharing, and you understand that the use of shared information will be governed by the social media provider’s privacy policy.
  • Through the functionality you request. When you use the Services, including to interact with third parties, you will share, direct us to share, or consent to our sharing  information relevant to the requested service with those third parties. We use third-party large language models (LLMs) to support some of our functionality.  Depending on the functionality you select, your Personal Information may be shared with third-party tools, including LLMs.  For example, if you instruct the Services to research a topic using a particular third-party service, the search terms will be shared with the selected third-party service. Please see the “Third-Party Services” section below. Your information also may be shared with third parties if you use the Services to schedule a meeting, which will require us to disclose Personal Information relevant to the scheduling to other attendees in accordance with your instructions.
  • In connection with business transfers. We may share or transfer your information in connection with, or during negotiations of, reorganization, merger, sale, joint venture, assignment, transfer, or other disposition of all or any portion of our assets or stock (including in connection with any bankruptcy or similar proceedings). 
  • Other Uses and Disclosures. We may also use and disclose Personal Information as we believe to be necessary or appropriate: (a) to comply with applicable law, to respond to requests from public and government authorities, to cooperate with law enforcement, or for other legal reasons; (b) to enforce our terms and conditions; and (c) to protect our rights, privacy, safety or property, and/or that of our affiliates, you, or others. 
  • Google API Services User Data Policy. NinjaTech AI’s use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements. 

5. Information Automatically Collected 

We automatically collect certain other information when you visit, use, or navigate the Services. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes. If we are required to treat such information as Personal Information under applicable law, we may use and disclose it for the purposes for which we use and disclose Personal Information, as detailed in this Privacy Policy. 

The automated information we collect includes: 

  • Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and that we record in log files. Depending on how you interact with us, this log data may include browser type and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called “crash dumps”), and hardware settings). When you download and use an App, we and our service providers may track and collect App usage data, such as the date and time the App on your device accesses our servers and what information and files have been downloaded to the App based on your device number.
  • Device Data. We collect device data such as information about your computer, phone, tablet, or other devices you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information. 
  • Cookies. Cookies are pieces of information stored directly on your computer. Cookies allow us to collect such information as browser type, time spent on the Services, pages visited, language preferences, and traffic data. We use the information for security purposes, to facilitate navigation, to display information more effectively, and to personalize your experience. We also gather statistical information about use of the Services in order to continually improve their design and functionality, understand how they are used, and assist us with resolving questions regarding them. We do not currently respond to browser do-not-track signals. If you do not want information collected through the use of cookies, most browsers allow you to automatically decline cookies or be given the choice of declining or accepting particular cookies from a particular website. You may also wish to refer to http://www.allaboutcookies.org/manage-cookies/index.html. If, however, you do not accept cookies, you may experience some inconvenience in your use of the Services. 
  • Pixel tags and other similar technologies. We may use pixel tags (also known as web beacons and clear GIFs) to, among other things, track the actions of users of the Services (including email recipients), measure the success of our marketing campaigns, and compile statistics about use of the Services and response rates.  
  • Analytics. We use Google Analytics, which uses cookies and similar technologies to collect and analyze information about use of the Services and report on activities and trends. This service may also collect information regarding the use of other websites, apps, and online services. You can learn about Google’s practices by going to www.google.com/policies/privacy/‌partners/ and exercise the opt-out provided by Google by downloading the Google Analytics opt-out browser add-on, available at https://tools.google.com/dlpage/gaoptout.

6. Third-Party Services

This Privacy Policy does not address, and we are not responsible for, the privacy, information, or other practices of any third parties, including any third party operating any website or service to which the Services link. The inclusion of a link on the Services does not imply endorsement of the linked site or service by us or by our affiliates. 

In addition, we are not responsible for the information collection, use, disclosure, or security policies or practices of other organizations, such as Amazon, Facebook, Apple, Google, Microsoft, RIM, or any other app developer, app provider, social media platform provider, operating system provider, wireless service provider, or device manufacturer, including with respect to any Personal Information that you disclose to other organizations through or in connection with the Apps or our Social Media Pages.

7. Choice

You may opt out from receiving marketing-related emails from us.  If you no longer want to receive marketing-related emails from us on a going-forward basis, you may opt out by following the unsubscribe instructions in the email received or by contacting us at the information listed in the How Can You Contact Us About This Notice?” section below.

We will comply with your request(s) as soon as reasonably practicable.  Please note that if you opt out of receiving marketing-related emails from us, we may still send you important administrative messages, from which you cannot opt out.

8. Storage and Security 

We will only keep your Personal Information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements).  

We seek to use reasonable organizational, technical, and administrative measures to protect Personal Information within our organization. Unfortunately, no data transmission or storage system can be guaranteed to be 100% secure. If you have reason to believe that your interaction with us is no longer secure, please immediately notify us in accordance with the How Can You Contact Us About This Notice?” section below.

9. Use of the Services By Minors

The Services are not directed to individuals under the age of sixteen (16), and we do not knowingly collect Personal Information from children under 16 years of age. 

10. Account Information 

You can log into your user account at any time to review or change the information in your account or to terminate your account. 

11. Jurisdiction and Cross-Border Transfer

We are located in the United States. We may store and process your Personal Information in any country where we have facilities or in which we engage service providers. By using the Services, you understand that your information will be transferred to countries outside of your country of residence, including the United States, which may have data protection rules that are different from those of your country.  

12. Sensitive Information

Unless we request it, we ask that you not send us, and you not disclose, any sensitive Personal Information (e.g., Social Security numbers, information related to racial or ethnic origin, political opinions, religion or other beliefs, health, biometrics or genetic characteristics, or criminal background) on or through the Services or otherwise to us.

13. Third-Party Payment Service

The Services may provide functionality allowing you to make payments using a third-party payment service with which you have created your own account. When you use such a service to make a payment to us, your Personal Information will be collected by such third party and not by us and will be subject to the third party’s privacy policy, rather than this Privacy Policy. We have no control over, and are not responsible for, any such third party’s collection, use, or disclosure of your Personal Information.

14. California Residents 

If you are California resident and would like to request and obtain from us information about categories of Personal Information (if any) we disclosed to third parties for direct marketing purposes and the names and addresses of all third parties with which we shared Personal Information in the immediately preceding calendar year, please submit your request in writing to us using the contact information provided below. 

If you are under 18 years of age, reside in California, and have a registered account with the Services, you have the right to request removal of unwanted data that you publicly post on the Services. To request removal of such data, please contact us using the contact information provided below and include the email address associated with your account and a statement that you reside in California. We will make sure the data is not publicly displayed on the Services, but please be aware that the data may not be completely or comprehensively removed from all our systems (e.g., backups, etc.). 

15. Updates To This Notice 

We may update this privacy notice from time to time. The updated version will be indicated by an updated “Revised” date and the updated version will be effective as soon as it is accessible.
